The largest meeting room is less than 900 sq ft, so we'd need to multi-room it; the meeting rooms are on different floors which isn't ideal. Bedrooms are fairly pricey as well. Travel/location is nice though, so it's not an auto-reject.

Aight, Hotel finding. There's a ton of hotels that can host an event of our size (3000 sq ft), so I'm making this thread hoping some of y'all could help finding good ones.

The Requirements:

  1. 3000 sq ft or more meeting/conference space.
  2. Dedicated wired internet in that room, minimum 10 mbps upload speed.
  3. At least one 24/7 restaurant within walking distance.
  4. Travel to airport isn't butts.
  5. Bedrooms are less than $300 per night.

Ideal/Bonus Stuff to look for: Airport shuttle to hotel. Multiple restaurants. Arcade nearby (or other group event stuff, rollercoasters, waterpark, etc)

First thing I do is look for major airports which would be easier to fly into, then for hotels nearby, then for which of those hotels have 24/7 restaurants nearby. Alternatively search for areas that have the most restaurants, and then for hotels. Any city which is an 8 hour drive of Toronto (DarkAries limit, who is bringing the bulk of tech) is fair game.

Here is a list of larger cities within that range: Baltimore, Chicago, Cincinnati, Cleveland, Columbus, Detroit, Indianapolis, Montreal, Ottawa, Toronto

Smaller cities can work too, as long as there is transit to get to the venue (max 1 hour from airport).

This thread is for any feedback (positive or negative) about NASA 2019, and any desires you have for NASA 2020. If you have any comments specifically for the hotel (bedrooms/conference/waterpark/etc) then please list those too since the hotel asked us to give us feedback as well.

Here's three general questions to structure the feedback:

What did we do well? What did we not do well? What do you want for next NASA?

A bunch of attendees and staff had a chat on Saturday before the room was closed, and I'll list the general sentiments here:

Hotel venue was nice, getting there sucked. NASA back in the U.S. would be great (Chicago being the most mentioned city). Email newsletter for better communication about event info and merchandise. Registration page should have ticket/merch/amusementpark all bundled together. Scheduled carpools for airport pickups, activities, and food. More panels. More organized multiplayer tournaments/challenges/trips/etc. Monthly(ish) Weekend Mini-Marathons at various cities (Chicago meetup, Baltimore meetup, Jackson/Edmonton/etc) NASA Equipment Wishlist so we could have the same tech for the U.S. (Bunch of current tech is shared from Darkaries work).

It can be set to have one or both, but it would apply to every category. For Arcade, gametime is fine; for 10 Year Championship, you could change car settings in between each and every race to get slight improvements in game time with large losses of real time. Gametime would be useful for cross-platform comparison in 10 Year, realtime would be better for the same platform.

Edit: I switched the leaderboard to sort by Gametime.

This thread will be for finding which city to host NASA 2019 in, and then what stuff we all wanna have at it.

  1. The first restriction for location of NASA is stream equipment, it basically needs to be in driving distance of darkaries and lurk since they haul most of the stuff.

Two things to note from this: Venue basically needs to be less than ~10 hours from Buffalo/Toronto. Secondly, darkaries' work lent him some tech for NASA 2018, so if we don't do it near Toronto, we likely won't have that for the event (projectors and a table mic, as well as some other stuff that I cant remember off the top of my head).

If someone who lives elsewhere could get stream equipment together for an event, then their location could be an option too.

  1. Not a pain in the ass to travel to (financially or practically), some airports are a mess, and traveling from airports to a hotel can be shit too. Airport shuttles are a massive convenience, next being public transit from airport to within ~5 minute walk of hotel. Also, some airports might be easy for ground travel but not have as many flights (YHM for NASA 2018) forcing weird routes that can jack up airfare for those far away.

  2. Fun stuff to do aside from video games. Arcades, amusement parks, etc. This is more of a bonus than a requirement but it's still nice.

Currently I'm only looking for cities, not specific hotels or any of that. That being said the cities that can work with these (that I've looked at so far), are: Chicago, Cleveland, Cincinatti, Toronto, Charlotte, Baltimore.

Should also note that these cities I looked at are ones with both hub airports and rollercoasters nearby. Holla at me with more suggestions.

I don't know anything about dreamcast emulators, but the PAL version doesn't have super easy; I haven't done much testing but I think very hard is the same on every version.

I specifically requested a Chess 3 station in the venue, for 2 chess 3 boards. This station was not provided. I shall be contacting edenal for a full refund of my airfare for the past 3 events for this blatant disrespect of Chess 3.

Table layouts were better than last year, not as cramped. The board game dude only took cash, of which I had none, that was a downer.

Distinct lack of cruxit.

F-Zero GX station, previously I've done the Chapter 5 Very Hard Challenge, but now that people are getting used to it, I'm thinking of making it Chapter 7 or 8 Very Hard. With Chapter 7 VH, the reward would be a steak, or something around 100 SEK, Chapter 8 would be cheeseburger meal from mcdonalds or something around 40 SEK since it is not as difficult.

We will also be requiring a Chess 3 station, I will be bringing one Chess 3 board, and if Dave is going he probably will too, so having space for those and several sheets of large paper to write down Chess 3 armies and addons would be ideal. This should be situated near the mafia area since there is a big overlap between fans of Chess 3 and fans of mafia.

Bicycles were really handy for going to get food (most notably chicken nuggets en mass for last years GX Challenge), so more of those would be cool.

Last year there was a box that would light up and say "donation comment" or something similar to let runners know there was a comment ready. Having a much larger sign (perhaps projector or batman style light) but for mafia that reads "mafia starting soon" would let people know to head to the mafia room.

Based on current responses (52 people) to the form, the geometric median (point with least total distance to each spot, or cheapest total travel costs approximately) is somewhat between Detroit and Toronto. This only calculates distance to travel, and it gives the same dollar value per kilometer at every distance (whether its close enough to walk/drive, or a cross country flight). So this method isn't perfect but it does give a good idea of the ideal location.

In discord a bunch of peeps were talking about cities that could be good, the ones I have written down from all those is this: Baltimore, Charlotte, Chicago, Cleveland, Jackson, Orlando, Toronto, Valencia.

Baltimore/Toronto are cities where at least one NASA staff lives, so getting equipment to an event at these cities would be much simpler.

Orlando is waaaay south, but offers tons in terms of food to eat and stuff to do. I'd like to have a NASA here eventually, but it won't be NASA 2018. (could make a smaller meetup aimed at people in the area to stream on the NASA channel, I'd try to make it too). Charlotte is closer to the geometric median than Orlando, and would probably be cheaper than Orlando without providing quite as many amenities; has a Six Flags too.

Valencia is in California, this is the furthest city from the geometric median, but it has Six Flags Magic Mountain, which is the best Six Flags. I added Valencia to the list because I like rollercoasters.

Jackson; also added for rollercoasters, roughly same distance from geometric median as Baltimore.

Cleveland, after Toronto this city is the closest to the geometric median. Cedar Point is an hour drive away so there are rollercoasters too.

Chicago, little further from the geometric median, but has a major hub airport.

So from that list alone, Orlando/Charlotte/Valencia are out of the pick due to distance. Toronto/Chicago have biggest airports (so likely to have the cheaper flights), Cleveland is closest to geometric median, Toronto/Baltimore have NASA staff for ease of equipment transport, Jackson isn't too far from Baltimore and has rollercoasters. Overall I'd say Toronto/Cleveland are the best from this list, going purely by distance from attendees.

If anyone else has a city they think would be good, go ahead and offer it in the thread. You could even ask around hotels to see what it would cost to book 1 week in June for conference space (we want at least 2500 sq ft). Most hotels that have conference spaces put the sizes of them on their website, but not the price (price varies based on how busy that time of year is). Even if the city is a bit further way, if you can find a hot deal on a conference space that could seal the deal.
